Introduction

To ensure that all material movements are completed to the highest standard to minimise loss, increase productivity, profitability and client satisfaction. This is done through management of processes and unique requirements as required by the customer. Control of all work areas and staff under his control to achieve the required results while adhering to best in class warehouse management and customer service principles as outlined in the Key Responsibility Areas below

Duties & Responsibilities

Operational

Receiving

  • Ensure that all stock is received as planned.
  • Communicate success and failure of all KPI’s both internally and externally
  • Document control must be maintained with both hard and soft copy
  • Spot check receipt process
  • Document Control
  • Risk Process
  • Scanning
  • Binning
  • Provide feedback on all exceptions
  • Communicate with the client / airfreight team / transport and the client regarding urgent shipments to have these fast tracked
  • Liaising with clients and internal service providers
  • Ensure that the risk process is followed at all times
  • Dispatch – when required
  • Management of the dispatch process through tasked individuals
  • Ensure security measures are always adhered too
  • Provide feedback to management as to progress throughout the day
  • Control and maintain the required standard of all aspects of the dispatch process

Systems

  • Ensure that all systems are used and maintained in the way that they were intended
  • Focus on data quality and reporting thereof

Stock Management

  • Daily Cycle Counts – assist when required
  • Ensure that daily cycle counts are completed by inventory controller for stock under his contro
  • Sign off daily cycle counts in conjunction with inventory controller
  • Spot check to ensure that cycle count is being completed correctly
  • Ensure that all documentation is being filed correctly

 

Monthly Stock Takes – assist when required

  • Complete the monthly stock take with the inventory supervisor
  • Ensure that all stock information is recorded correctly
  • Supply Manager with master stock take report maximum four (4) days from stock take
  • Ensure that all working documents / finalized documents are stored in hard and soft copy so that they can be easily retrieved

Variances

  • All Variances need to be documented as soon as they are noted and communicated internally
  • These need to be resolved as soon as possible
  • Detailed record of all variances needs to be maintained
  • If the varianc e is a true stock shortage on the Company’s logistic side, report this to the manager and risk department

Returns Processing

  • Ensure that the returns process is managed, and a full record is maintained
  • Communicate this information to the client frequently to ensure that stock is booked back into the warehouse
  • Stock Movements
  • Ensure that all stock movements and adjustments are completed as and when required
  • Communicate results to all concerned parties

Staff

Human Resource perspective

  • Manage HR performance and development to optimize utilization
  • Manage and apply disciplinary code within area of responsibility
  • Attendance
  • Ensure daily attendance register is completed and distributed daily
  • Manage staff time and attendance
  • Manage overtime
  • Development
  • Optimize individual employee performance through effective leadership, coaching, development and training
  • Evaluate daily performance and provide continuous feedback on performance improvement initiatives
  • Casual Labour
  • Arrange additional (casual) staff when required
  • Ensure that accurate record keeping on this is maintained

KPI’s

KPI Control

  • Manage the work process to ensure that KPI’s are met and maintained this is inclusive of:
  • On Time GR
  • Inventory Consistency
  • On Time GI
  • On Time Outbound Delivery (IOD)
  • On Time Outbound Delivery IOD receipt
  • KPI Reporting
  • Provide feedback on all KPI failures
  • Find solutions to recurring failures and communicate this internally

Client Focus

  • Client Communication
  • Ensure that all communication with the client is clear and concise as per e-mail etiquette policy of company’s Logistics
  • Keep relationship building in mind

  • Be proactive when dealing with the client
  • Escalate any client concerns or possible problems to company’s management

Document Control

  • Record Keeping
  • Keep accurate records of all transactions in Hard and Soft copy
  • Ensure that this is kept organized and accessible to all staff

 

 

 

 

 

 

Desired Experience & Qualification

  • Matric / Grade 12
  • Further Studies advantageous
  • At least 1-year experience in the field of Logistics / Supply Chain and its key contributors
  • Experience with quality related functions
