Introduction

A position has become available in the Conveyancing department of  a boutique law firm based in Cape for a Conveyancing Secretary

Duties & Responsibilities

Key areas of responsibility include:

  • Taking bond instructions including commercial bonds and notarial bonds which include (amongst other things), drawing of documents, checking of documents, attending to signing of documents, registration of final accounts and despatching documents to clients.
  • Knowledge of and experience in transfers and ancillary deeds registry transactions.
  • Preparing files accurately and according to specifications.
  • Administering and organizing the bond practice.
  • Attending to lodgements and registrations of all bond cancellations and bonds.
  • Attending to all the finances related to the bond transactions.
  • Drafting and checking of documents.
  • Preparing final accounts and despatching documents to clients.
  • Liaising with clients, registrar deeds office and internal deeds office clerk/driver, etc.
  • Conducts deeds and company searches.
  • Building relationships and networking.
  • Running and administrating own portfolio.
  • FICA administration, following up to ensure the FICA requirements are complete.
  • Ensure the filing system is kept up to date (hard copy and electronic).

Desired Experience & Qualification

Academic/Skills/Experience

  • Matric essential.
  • Legal secretary / conveyancing qualification advantageous.
  • Minimum of 10 Years years in Transfers and bonds
  • Full working knowledge of all MS packages.
  • Experience with all 4 Big Banks
  • In-depth knowledge of conveyancing software/systems such as: Lexis Convey, Lotus Notes, E4 (portal based) and Ghost Convey
  • Basic knowledge on Adarant Expert (CMS) accounting system.
